We are seeking a highly organised and service-focused Building Services Administrator to support the coordination and administration of our Building and Maintenance service, which delivers home modification and building support services to older people and people living with disability in our community.


This is a part-time role (24 hours per week) based in the Blue Mountains.


About the Role

The Building Services Administrator plays an important role in ensuring building and home modification works are coordinated smoothly from referral through to completion.

Working closely with the Building Services Manager, trades staff, Occupational Therapists and contractors, the role supports job coordination, client communication, contractor liaison and financial administration.

You will help ensure works are delivered efficiently, documentation is maintained accurately and funding and compliance requirements are met.

This is a varied and hands-on role that supports the delivery of practical services that improve safety, independence and quality of life for people in our community.


Key Responsibilities:

In this role you will:

  • Support intake of referrals and establish client and job records in relevant systems

  • Coordinate the administrative flow of jobs from referral through quotation, approval, scheduling and completion

  • Communicate with clients, Occupational Therapists, support coordinators and referral agencies regarding works and scheduling

  • Liaise with subcontractors and assist with obtaining and progressing quotes for works

  • Coordinate bookings and support job scheduling with contractors and installers

  • Maintain accurate client files, job records and documentation across relevant systems

  • Assist with compliance and reporting requirements including My Aged Care, NDIS and service data reporting

  • Prepare quotations, invoices and other financial documentation related to works

  • Maintain contractor registers and compliance documentation such as licences and insurances

  • Provide general administrative support to the Building Services Manager and Assist team


About You

We are looking for someone who is organised, proactive and committed to providing responsive service to clients and stakeholders.


You will bring:

  • Experience in an administrative, coordination or customer service role

  • Strong organisational skills with the ability to manage multiple tasks and priorities

  • High level administrative skills including accurate record keeping and document management

  • Well developed written and verbal communication skills

  • Strong computer skills including Microsoft Office and the ability to learn new systems

  • Ability to liaise professionally with clients, contractors and service providers

  • A collaborative approach and ability to work both independently and within a team

  • A commitment to professionalism, confidentiality and high quality service delivery


Experience in building, maintenance, and/or the community services sector will be highly regarded.


Successful applicants will be required to obtain or hold:

  • National Police Check

  • Working With Children Check

  • NDIS Worker Screening Check

  • Current driver’s licence
